How long we keep your data and what happens when you delete it
We retain your data responsibly, giving you full control over your information. While your account is active, all coaching data remains accessible. When you delete your account, active data is immediately removed, with encrypted backups retained for 90 days for disaster recovery purposes only.
While Your Account is Active
We retain your coaching data for as long as your JourneyLoop account remains active. This ensures you have continuous access to your coaching history and can track long-term progress.
Indefinite Retention
Session transcripts, insights, action items, and client profiles remain accessible as long as you keep your account active. There are no automatic deletion periods.
Backup Protection
All data is backed up daily to protect against accidental loss, system failures, or data corruption. Backups are encrypted and stored securely.
Your Control
You maintain full control over your data. Delete individual sessions, clients, or your entire account at any time from your dashboard settings.
Deleting Individual Sessions or Clients
You can delete specific sessions or entire client accounts at any time without deleting your coach account.
Session Deletion
Delete individual sessions from the session list or detail page. Deleted sessions are immediately removed from active access, retained in encrypted backups for 90 days, and permanently deleted after 90 days.
Client Account Deletion
Deleting a client removes all their sessions, progress data, and associated insights. This action follows the same 90-day backup retention policy.
When You Delete Your Account
We make account deletion simple, fast, and complete. You can delete your entire JourneyLoop account with one click from your Profile settings.
Immediate Deletion
When you delete your account, the following happens immediately: your account is locked and you cannot log in, all active data is removed from the production database, client portals are immediately disabled, subscription billing is cancelled (no refunds for partial months), and all session data, transcripts, and insights are deleted.
90-Day Encrypted Backup Retention
While your active data is deleted immediately, encrypted disaster recovery backups are retained for 90 days to protect against accidental deletions, system failures or data corruption, and legal or regulatory requirements for data preservation.
Important: These backups are encrypted and stored securely. They are not accessible through normal operations and are automatically purged after 90 days.
Permanent Deletion After 90 Days
After 90 days, all backups are permanently deleted. All backup copies are permanently destroyed, recovery is no longer possible, and your data is completely removed from our systems.
How to Delete Your Account
Account deletion is a self-service process that takes just a few clicks:
Deletion Steps
- 1 Go to Profile → Delete Account tab
- 2 Enter your password to confirm your identity
- 3 Type "DELETE MY ACCOUNT" to confirm (prevents accidental deletion)
- 4 Watch real-time progress as your data is deleted
- 5 Deletion completes within minutes—no recovery possible
Before you delete: Consider exporting your data first. Once deleted, active data cannot be recovered (though encrypted backups exist for 90 days for disaster recovery purposes).
What We Retain After Account Deletion
For legal, tax, and security reasons, some limited data may be retained even after account deletion:
Billing Records
Transaction history and invoices may be retained for tax and accounting purposes as required by law (typically 7 years). These records do not include session content.
Security Logs
Login history and security-related logs may be retained for fraud prevention and security incident investigation. These logs do not contain session content.
Legal Holds
If your account is subject to a legal hold, subpoena, or court order, we may be legally required to preserve data beyond normal retention periods.
