You have complete control over your data
At JourneyLoop, we believe you should have complete control over your data. These rights apply regardless of where you live, though some may be legally guaranteed under regulations like GDPR and CCPA. You don't need to justify your requests or cite specific laws. We honor all privacy rights universally.
Right to Access
View Your Data
Access all your session transcripts, insights, client data, and account information directly through the JourneyLoop dashboard.
Request a Data Report
Contact us at privacy@journeyloop.ai to request a comprehensive report of all data we hold about you. We'll respond within 30 days.
Right to Export (Data Portability)
Export Your Data
From your Profile settings, you can export all your data in JSON or CSV format, including:
- All session transcripts and metadata
- AI-generated insights and action items
- Client profiles and progress data
- Account settings and preferences
Tip: Export your data before deleting your account. Once deleted, active data cannot be recovered.
Right to Delete (Right to Erasure)
One-Click Account Deletion
Delete your entire account instantly from Profile → Delete Account. No waiting, no approval needed. Active data is deleted immediately, with encrypted backups retained for 90 days for disaster recovery.
Delete Individual Sessions or Clients
Remove specific sessions or entire client accounts from your dashboard without deleting your coach account. Deleted items follow the same 90-day backup retention policy.
Request Deletion via Email
Email privacy@journeyloop.ai to request deletion of specific data or your entire account. We'll process requests within 30 days.
Note: Some data may be retained for legal, tax, or security purposes even after deletion (e.g., billing records, security logs). See our Data Retention policy for details.
Right to Correct (Rectification)
Update Your Profile
Edit your name, email, password, and account settings directly from your Profile page.
Edit Session Data
Modify session titles, notes, and metadata from the session detail page. You can also regenerate AI insights if needed.
Request Corrections
If you can't update something yourself, contact privacy@journeyloop.ai and we'll make the correction within 30 days.
Right to Restrict Processing
Control AI Processing
From your Privacy Settings, you can disable AI analysis entirely or control which sessions are analyzed. Sessions without AI processing are stored but not analyzed for insights.
Limit Communications
Manage notification preferences and opt out of marketing emails while keeping essential service communications.
Request Processing Restrictions
Contact privacy@journeyloop.ai to request specific restrictions on how we process your data.
Right to Object
Opt Out of Analytics
Disable usage analytics tracking in your Privacy Settings. We'll still process essential operational data but won't track feature usage patterns.
Object to Marketing
Unsubscribe from marketing emails using the link at the bottom of any marketing message, or manage preferences in your account settings.
Object to Specific Processing
Email privacy@journeyloop.ai to object to specific types of data processing. We'll respond within 30 days.
How to Exercise Your Rights
We've made it easy to exercise your privacy rights:
Self-Service Dashboard
Most rights can be exercised directly through your JourneyLoop dashboard (Profile settings, Privacy settings, session management).
Email Request
For requests that can't be handled in the dashboard, email privacy@journeyloop.ai with your request. We'll respond within 30 days.
Identity Verification
For security, we may ask you to verify your identity before processing certain requests (especially deletion or data export requests).
No charge: Exercising your privacy rights is always free. We never charge fees for access, export, deletion, or correction requests.
